SAP DOCUMENT ARCHIVING

Document Archiving in SAP involves the creation and management of electronic documents relating to SAP business objects.  These documents can either be created in electronic format, or converted to an electronic format via scanning of paper documents.  The management and use of these documents can be further enhanced using SAP Business Workflow or SAP DMS

Printlists

SAP generates standard reports which can be printed or stored within the SAP database for future reference. These reports are generically called print lists within SAP.

The standard functionality for Print lists reports allows them to be stored within the SAP database or printed out for future reference. With the addition of a SAP certified Content Server it is possible to save these reports electronically for future reference. Once stored in the content server the reports are searched and displayed within SAP without the need to use database storage to hold them for extended periods.

While a large number of SAP reports are only used for short term reference a number of reports need to be created and stored for audit and compliance reason and these reports normally require referencing for a period of several years. The use of a SAP certified Content Server to store these reports allows them to be kept electronically saving on printing and storage costs.

Invoice Management & Workflow

SAP Business Workflow is a powerful tool that can be used to automate business processes when more than one user is involved.  Business processes can be the simple assigning of a scanned document to business object (eg a HR document to an employee), through to more complex release or approval procedures.  Workflow is especially useful when combined with the scanning of incoming documents.

Inbound Documents

During the course of normal business a company receives a number of different types of documents either electronically or in paper form which are key documents for the business to perform it functions. Within SAP there is standard functionality which can be configured to allow these documents to be stored electronically and then displayed from within the SAP business transactions relating to the document. For example a supplier Invoice can be stored and then displayed from within the standard SAP Invoice display transactions.

The electronic storage and retrieval of key business documents seamlessly from with the SAP business transactions allows a business to streamline it's business processes and reduce costs.

Business processes can be streamlined even further by using OCR technology to automatically extract information from the document and then create the SAP business documents without the need for keying data directly into SAP from the source document.

While the ability to handle inbound business documents is standard functionality, in order to enable this functionality requires the addition of a SAP certified Content Server and Scanning solution.

Outbound Documents

As part of a normal business process a company generates a number of legally binding documents and sends these out either in paper form or electronically. Samples of these are billing documents and purchase orders.

While SAP does have the ability to regenerate these documents they are not generated as a true facsimile of the original document they are viewed as if they had been created using the information available at the time of re-creation. This can mean differences in the document formats or content that are created from the original document can lead to legal or compliance issues.

With the addition of a SAP certified Content Repository it is possible to save an exact facsimile of the document generated in PDF format. This can then be used as evidence and a true copy in the event one should be required for legal or compliance issues.

This functionality is also required if a customer is using SAP Data Archiving to ensure they hold a record of the document produced, as once the SAP data has been archived it can not be reprinted should the need be required.
